The Day Begins

Some people think Project Coordinators spend their day updating spreadsheets.

They’re not wrong…

They’re just leaving out about 47 other things happening at the same time.

Welcome to life as a Project Coordinator.

The day usually starts by checking emails, reviewing tasks due today, and seeing what changed overnight. Before long, the Teams messages start rolling in, vendors are responding, clients need updates, purchase orders are waiting, and someone is asking, “Do we have that document yet?”

From there, it’s all about keeping projects moving.

A Typical Workday

From 8:00 AM to 5:00 PM (and often beyond), the day is a constant balancing act:

• Updating QuickBase and client databases
• Following up on quotes, purchase orders, and deliverables
• Coordinating with Project Managers, Site Acquisition, A&E, and vendors
• Scheduling meetings and tracking action items
• Making sure the right people have the right information at the right time
• Solving small problems before they become big ones
• More coffee
• Updating QuickBase, client databases, and trackers
• Solving problems before they become bigger problems
• Keeping projects organized while priorities change throughout the day

If everything is running smoothly, chances are a Coordinator has already handled a dozen issues behind the scenes before anyone else knew they existed.

The Tools of the Trade

QuickBase (always open), Microsoft Teams, Outlook, Excel, AI tools, client databases, and enough browser tabs to make your computer question its life choices.

Expect the Unexpected

One thing that surprises people outside the telecom industry is just how quickly everything changes. New client requirements, changing priorities, updated deliverables, and evolving processes mean there’s always something new to learn.

What It Takes to Succeed

Success in this role requires patience, organization, attention to detail, strong communication, and the ability to juggle multiple priorities without letting anything fall through the cracks. Every project is different, priorities shift quickly, and keeping everyone informed is just as important as keeping tasks on schedule.

What makes the Coordinator team successful is their willingness to help wherever they’re needed. They work across departments every day, supporting project teams, answering questions, finding solutions, and making sure nothing slips through the cracks. If they don’t know the answer, they’ll find someone who does. Their teamwork, trust, and solutions-oriented mindset help keep projects—and people—moving forward.

And one final piece of advice…

If you’re joining one of the internal deployments, it might be worth brushing up on your movie quotes beforehand. Otherwise, you may spend part of the meeting wondering what everyone else is laughing about.

At the end of the day, Project Coordinators are the people connecting clients, vendors, project teams, and information. They keep projects organized, communication flowing, and countless moving pieces working together—making them an essential part of every successful project.
